Jefferson Hospital is hiring an Administrative Assistant for our Administration Office.
Responsibilities:
• Will be responsible for general secretarial duties and any other that are assigned.
• Must abide by HIPPA laws and maintain a high level of confidentiality.
• Must display interpersonal skills in order to develop and maintain working relationships with other health professionals and the public.
• Represents administration to the public by handling and screening incoming telephone calls; recording and transmitting messages; receiving and announcing scheduled visitors; screening unscheduled visitors.
• Arranges appointments for administration by maintaining master administration calendar; rescheduling appointments when conflicts arise.
• Provides office services support for administration by imputing data; proofreading documents; gathering information; preparing reports; maintaining files; ordering and maintaining supplies and equipment.
• Enhances the hospital’s customer service reputation by assisting patients, visitors, and physicians to resolve expressed concerns.
• Contributes to a safe and secure environment for patients, visitors, physicians and co-workers by following established procedures.
• Keeps information confidential by following the employee confidentiality policy.
• Supports inter-and intra-departmental cooperation by contributing to effective working relationships.
• Accomplishes administration and hospital mission by completing related results as needed.
• Maintaining vendor contract files
• Responsible for coordinating monthly Hospital Authority, Medical Staff, and Department Managers’ meetings and performing all associated secretarial duties.
• Record minutes at the monthly Hospital Authority Board meeting, Medical Staff meeting, Department Manager’s meeting, and various other minutes from other hospital meetings.
• Liaison with Employee Activity Committee
• Coordinate student clinical rotations and volunteers
• Oversee Board Education training for Hospital Authority Members
• Schedule travel for meetings and conferences
• Order gifts for Doctor’s Day, Christmas, Hospital Week, etc..
• Always works as a team player to provide quality patient care, whether direct or indirect.
• Holds self and team members accountable for knowledge of and full compliance with customer service performance standards. Customer is defined as patient, physician, visitor, fellow employee, volunteer, supplier and payor.
• Research and verify credentials of other physicians as requested by other healthcare facilities.
• Maintains tickler file with all licenses, DEA numbers, and malpractice insurance expiration dates, appointment / reappointment dates.
• Responsible for credentialing Hospital Medical Staff and all associated duties.
• Adheres to all state and federal guidelines, rules and regulations including but not limited to HIPAA, with regard to transaction standards, patient privacy and confidentiality, and information security.
• Other duties as assigned
